Time management is essential for any team to function well and stay on schedule. Without a well-defined and organized plan, projects can quickly become chaotic, deadlines can be missed, and tasks can slip through the cracks. For this reason, it’s important for small businesses to help new team members understand the basics of time management and create a plan that works best for them.
In this blog post, we’ll provide some strategies for time management and discuss how to set up an effective schedule. With these tips, new team members can make sure that their projects are done on time and with the highest attention to detail. So let’s dive in and learn how to manage your time effectively!
No matter what business you’re in, it would be helpful for you to think through time management. If you want to grow in your business, you should help your team, especially the new members, manage their calendars.
Making the best use of their calendar is key to staying organized and productive. A well-managed calendar can help everyone keep track of their tasks and commitments, prioritize tasks, and plan out their daily, weekly, and monthly activities. They will eventually get closer to their goals.
So, you need to think through, “What are the revenue generating activities that you need to focus on?” “What does that look like?” And so a lot of times, like in the case of EntreResults, there are really three things that we do. We focus on coaching, helping, and adding value; we focus on selling; and we focus on marketing. And so what you have to do is look at your calendar, and you have to put different blocks or chunks of time where you can focus on those specific things.
Well, businesses are different, so you might want to think about what chunks make the most sense for you and what works best for your schedule.
On the other hand, one of our core values at EntreResults is having a sense of work life balance. You need to know the things that are most important to you in life. And so, even with people that are new, we talk about family, relationships, health, and God. You need to think about what chunks you want to put on your schedule first.
Now, a lot of times, that’s not necessarily during the eight to five work hours. But we always want to start with that because we want everyone to be focused on growing in all areas of life.
Now that you have created your chunks of time, how do you stay focused during the chunks to make them productive?
Handling distraction is an essential skill to master. Distractions can come in many forms, like emails, social media, and even people. It is important to learn how to stay focused on your tasks and to avoid procrastination.
First, you need to find a space where you feel productive, specifically for people who work remotely. A space that allows you to disengage from all the responsibilities of home and then just focus on work (like a home office).
Second, you have to commit to not responding to emails and not checking social media during a certain time. You have to put your phone down or turn off your notifications for a little bit and really focus on what’s at hand.
So some people might have different distraction problems, but generally speaking, the only distraction that’s really good is if someone’s looking to invest in your product and service immediately. That’s a good distraction!!
Well, stating the obvious, going back to the work life balance, when people wake up early, they win the morning, they have a time of prayer or meditation, and they’re in a healthy position. People are more productive when they can handle their lives outside of work. This is because it makes them more focused.
Setting boundaries correctly is another important skill to master. Boundaries can help you stay organized and focused on your tasks. Set a timeline for each task during those time frames to help you manage your time better and ensure that all tasks are completed on time.
Setting limits can also help you deal with distractions. For example, you can set aside certain times for emails and certain times for breaks.
Also, people who work within a team may get interrupted if they have an “open door” policy. And so you can create a sort of boundary when you say something like: “Listen, I have a meeting rhythm where you can come ask me anything during this time period, but during these other hours, you know, please respect my chance to get other things done.”
We think it’s important to have certain boundaries. I have coached a lot of entrepreneurs. Some of them had been in business for over 20 years. When they came to us, we realized how much time they were wasting throughout their entire day. So we help them improve their productivity by re-examining their individual DISC-based communication styles and identifying the most efficient means of time management for them.
When we coach a leader or a business, we do so because we enjoy contributing to their success and recognize the uniqueness of each client we work with. And so we actually tailor our process to each person to ensure that they get the support they need.
